Vendor Guidelines
1. Booth Information

Vendor booth spaces (10’x10’) are reserved for the entire duration of Summerfest on Saturday, July 19, 2025. Additional booth spaces may be purchased at the standard vendor rate, with a maximum of two spaces per vendor/organization.

All vendors must be prepared to open by 10:00 AM and are required to remain on-site until at least 4:00 PM. Early breakdown is not permitted.

Booth spaces will be assigned by event organizers, and each vendor section will be given a load in timeframe the morning of the event. Please plan to bring a means to transport your goods from the parking area to your assigned space.
2. Space Management

Vendors must ensure their structures do not obstruct walkways. Vendor space assignments are at the discretion of the Summerfest Planning Committee; saving spaces for late arrivals is not allowed. Vendors must occupy only their assigned spaces.
3. Vendor Conduct

Vendors are responsible for maintaining a family-friendly, respectful presence. Solicitation outside of assigned spaces is prohibited.

Vendors may not play music or use loudspeakers that disrupt the event. All park rules must be followed, and vendor spaces are subject to inspection by City of Edgewood officials.
4. Application Process

All applications will be evaluated to ensure alignment with Summerfest’s mission. Vendors must comply with all requests from event staff. Failure to adhere may result in permit revocation and removal from the event.
5. Payment Terms

Vendor payments must be received by July 17, 2025, to secure participation. All payments are non-refundable.
6. Additional Information for Non-Profit Vendors

Non-profit vendors must provide proof of non-profit status upon request.
7. Food Vendor Requirements

Food vendors must obtain necessary permits from the Tacoma-Pierce County Health Department and display them during the event. Vendors using deep fat fryers must have a Type K fire extinguisher. All tents and canopies must meet flame retardant standards.
8. Vehicle and Parking Regulations

All vehicles must be out of the event area by 9:30 AM. Setup may begin at 7:00 AM, and vehicles are not permitted in vendor areas without prior approval. Please park in designated areas.
9. Sales Tax Responsibilities

Vendors are responsible for collecting their own sales tax. A tax number can be obtained from the Department of Revenue.
10. Generators and Electricity

Vendors must ensure safe operation of all equipment. Generators are permitted only for food vendors and must not create noise disruptions. Electricity will not be provided.
11. Media Release
-
By participating in Summerfest, I grant the Summerfest Planning Committee and its affiliates the right to use my image and name in any media format for promotional purposes. I waive any rights to inspect or approve the images and release the Committee from claims related to this usage.
12. Indemnification

Vendors agree to indemnify and hold harmless the City of Edgewood, Edgewood Community Picnic, North Pierce County Community Coalition (NPCCC), the Event Planning Committee, Summerfest, and all volunteers and staff from any claims arising from injuries or losses related to the vendor’s participation. Vendors shall be responsible for defending against any actions arising from their conduct.
